Who We Are
Tether Copy (“we”, “us”) builds and runs cold email campaigns that book sales meetings for businesses. We are based at 20 Eagle Way, Essex, United Kingdom, and we are the controller of the personal data described here. Oliver Hawkins, our founder, handles every privacy question personally.
This policy covers tethercopy.com, calls booked through it, emails you exchange with us, and the business outreach emails we send.
What We Collect
When you visit this website
The site itself doesn’t set cookies and doesn’t use analytics, advertising or tracking tools. Two things do happen:
- The site is hosted by Cloudflare, which processes technical data such as your IP address, browser type and the pages you request, so it can deliver the site and protect it from abuse. Cloudflare may set a strictly necessary security cookie to tell people apart from bots.
- If you switch between light and dark mode, that choice is saved in your own browser’s storage. It is never sent to us.
When you book a call
Our “Schedule A Call” buttons open Cal.com, our booking tool. When you book, we receive your name, email address, the time you chose, your time zone and any answers or notes you add. Cal.com processes this under its own privacy policy.
When you email us or become a client
We keep the emails you send and our replies, along with your name, company and contact details. If you become a client, we also hold the information we need to run your campaign and bill you, such as your ideal customer profile, your approved email copy and your invoicing details.
If we have emailed you
To find the right people to contact, for our own business or for a client, we use work contact details: your name, job title, company, business email address and information from your public professional profiles. These come from public sources and business data providers, and we verify email addresses before we send.
Every email we send tells you how to opt out. Reply “stop”, or email oliver@tethercopy.com, and we will stop contacting you. If a campaign was run for one of our clients, tell us and we will tell you which client it was.
How We Use It
- To hold the calls you book, answer your questions and send you proposals.
- To deliver the service to our clients, including booking meetings between them and the people we contact.
- To send relevant business emails to people at companies that may benefit from our service, or from our clients’ services.
- To invoice clients, keep accounts and meet our legal obligations.
- To keep this website and our systems secure.
Our Legal Basis
Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on:
- Contract: to take steps you ask for before working together, such as a call, and to deliver the work once we do.
- Legitimate interests: to run and promote our business, to contact people at relevant businesses about relevant services, and to keep our systems secure. We weigh these against your rights, keep our outreach to work contexts, and always let you opt out.
- Legal obligation: to keep financial records.
Who We Share It With
We don’t sell personal data. We share it only with:
- Service providers who help us run the business, such as website hosting (Cloudflare), call booking (Cal.com), email, video calls, lead data and email delivery tools, and our accountant. They may only use it to provide their service to us.
- Our clients, when we book a meeting between you and them. They receive your contact details and the conversation that led to the booking.
- Authorities, where the law requires it.
International Transfers
Some of our providers store data outside the UK, including in the United States. Where they do, we rely on the safeguards UK law requires, such as an adequacy decision (including the UK–US data bridge) or the ICO’s approved contract terms.
How Long We Keep It
- Calls and enquiries: up to 2 years after we last spoke, unless you become a client.
- Client records: for as long as we work together, then 6 years for tax and legal purposes.
- Outreach data: while a campaign is running, and no more than 12 months after our last contact unless you reply and we keep talking.
- Opt-outs: we keep a minimal record of your email address so we never contact you again.
Your Rights
You can ask us to:
- Give you a copy of the personal data we hold about you.
- Correct anything that’s wrong or incomplete.
- Delete your data, or limit how we use it.
- Stop using it for direct marketing. We will always do this.
- Stop using it on the basis of legitimate interests, unless we have a compelling reason to continue.
- Send it to you, or to another organisation, in a common format.
Email oliver@tethercopy.com to make a request. It’s free, and we will reply within one month.
Complaints
If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Keeping It Safe
We use reputable providers that protect data in transit and at rest, and only the people who need personal data to do their work can access it.
Changes To This Policy
If we change how we use personal data, we will update this page and the date at the top.
